Tasks

Tasks

A to-do board for each project — for your own work and your team's — that the assistant can read and update too.

Tasks is a simple board for the work on a project: what needs doing, who is on it and what is stuck. You reach it from Tasks in the left menu.

Each project has its own board. If you look after several clients, give each client a project and switch between them with the project picker. Their tasks never mix. You don't need Jira, Trello or Notion alongside.

The board

Five columns: To do, In progress, Blocked, Review and Done. Review is for work that's finished but needs a person to check it, such as a scheduled report. Drag a card to move it between columns or to reorder a column. The coloured left edge shows the priority: red for urgent, amber for high.

Each task has:

FieldWhat it's for
Number#12 — how you and the assistant refer to it
TitleOne line, e.g. Renew the SSL certificate on api.example.com
DescriptionSteps, commands, links. Markdown works
PriorityLow, Medium, High or Urgent
AssigneeAnyone on your team who can open this project
LabelsFree tags such as incident, security, deploy
Due dateShown in red on the card once it has passed
CommentsProgress notes, from people or from the assistant
AttachmentsUp to 3 files from File Storage
TimeWhen the work started and how long it took. A chat's time is measured for you

Use the search box and the Assignee, Priority and Label filters at the top to narrow the board. Done tasks older than 30 days are tucked away. Show all done brings them back.

Time

Every task shows when the work started and the time taken. Open a task and use Log time under Time: pick the start, type how long it took and choose min or hours (1.5 hours works). Add a note if you like. You can also fill in Start and Time taken when you create the task. A task's start is its earliest entry and its time taken is all entries added up; the card shows the total.

You can edit or delete what you typed in. Entries are per person, so two people working on one task each log their own time.

Chat tickets

Each chat keeps its own ticket, so the work you do with the assistant is logged without you writing anything:

  • When it's filed: the first time the assistant changes something in the chat, such as running a command you approved. A chat that only looks at things doesn't file a ticket. Say "log this chat" to file one anyway.
  • One chat, one ticket. If you keep going in the same chat, the same ticket is updated. Several jobs in one chat go on one ticket, so start a new chat for unrelated work.
  • Title and description are written from the conversation after each reply: what you asked, what was done and the result, plus the list of changes the assistant made (passwords and keys are masked). Edit the title or description yourself and it stops rewriting them.
  • Status: the ticket starts in In progress and moves to Done when the work is finished and checked. If you come back and change more, it moves back. A ticket you moved to another column stays there.
  • Start is when the chat started, even though the ticket appears a few messages in.
  • Time is your active time, not how long the chat was open. The timer stops after 5 minutes without activity and starts again with your next message, so starting a chat, going to lunch and coming back for "nginx -t and reload" counts a few minutes, not two hours. Time the assistant spends running a long command counts. A break of an hour or more starts a new line in Time, so each day's work is listed on its own.

A bar above the chat shows its ticket and time, with Open ticket. If you correct a chat's time (set it to 0 if it shouldn't count), your number is kept. Deleting the ticket stops that chat from filing a new one.

Carrying on yesterday's work in a new chat? Say "this is more work on #12" and the chat's time goes on #12 instead.

Attachments

A task can carry up to three files. Open the task and use Upload to add a new file, or From Files to pick one already in File Storage. Uploads are saved in File Storage under Tasks › project name, so they are in your drive too. Removing an attachment takes it off the task only; the file stays in File Storage.

Only files that belong to the task's project can be attached. That keeps one client's documents from showing up on another client's board. If a file is moved to the trash, the task still lists it by name but it can't be opened until it's restored.

Auto tasks

Auto task (top of the board) adds work on a schedule. Pick one of two types:

  • Create a task: for recurring work such as a monthly access review. Write a prompt, and at each run the AI writes the title and a checklist and the task appears in To do, assigned and with a due date. It doesn't look at your servers. If the AI can't be reached, the task is still added under the title you set.
  • Run and report: the assistant checks your servers or cloud, writes a report (PDF), and files it in Review with the PDF attached. If it found something that needs action, the task is marked High with an issues-found label. Read it, then move it to Done or add follow-up tasks.

{date}, {week}, {month}, {year} and {project} in a title or prompt are filled in at each run. Both types can email the result, and both are listed on the Agents page, where Run now tries one straight away.

Asking the assistant

The assistant works on the board of the project the chat belongs to. Things you can ask:

  • "What's open on the board?" or "What's assigned to me?"
  • "Add a task to rotate the database password by Friday, high priority."
  • "Move #12 to done and note that the cert now expires in March."
  • "Assign #7 to Priya."
  • "Write up what you found as a PDF and attach it to #9."
  • "Log 2 hours on #12, I started at 3 pm."
  • "This chat is more work on #12."

After it finds a problem it can't fix right away, it may offer to file a task with what it found. It only adds one if you say yes.

Changes to tasks don't need the approval card, and they work in Read mode: a task is a note on your board, not a change to a server or a cloud account. The board refreshes on its own when the assistant changes something, so you can keep the chat docked beside it.

Who can do what

Owners, Admins and Operators can create, edit, move, comment on and delete tasks. Viewers see the board and read tasks but can't change them. See Roles.
